FUNCTION &amp; ROLE:
Under general supervision of the Vice President and/or Regional Director, the Executive Director is responsible for overseeing the overall operations and the maintenance of physical property of the Association, budget creation and oversight, project management, and asset preservation. Responsibilities and duties:
Community Leadership

<li>Management of on-site personnel to include personnel hiring, training, development, supervision, and performance evaluations. Adhere to and ensure that all on-site personnel understand and adhere to all guidelines, policies and procedures established by the Association and HOAMCO.</li>
<li>Facilitate upkeep of residential files and records, legal documents, property deeds, construction plans, member rosters, contracts, annual reports, meeting minutes, and all other relevant records. Facilitate and attend all Association Board and Committee meetings.</li>
<li>Actively participate in all community meetings, townhall meetings, and community events.</li>
<li>Ensure timely and accurate preparation of weekly, monthly, quarterly, and annual reports.</li>
<li>Maintain priority action list detailing the status of ongoing projects; provide regular status updates to Board.</li>
<li>Coordinate and conduct long-term and strategic planning sessions for Board of Directors as requested.</li>
<li>Effectively leverage company and vendor resources to execute board directives and achieve community goals.</li>
<li>Oversee service contractors to ensure cost-effective and high-quality service delivery. Negotiate service contracts and obtain bids as needed or directed by the Board of Directors.</li>
<li>Ensure that all procedures are being adhered to for vendors, contractors, service requests, and maintenance form logs.</li>
<li>Inspect community assets and common areas weekly and prepare written recommendations for physical repairs and/or replacements as required by the Board of Directors. Facilitate a building maintenance program for management of community assets.</li>

Governance and Community Standards
<ul>
<li>Maintain and uphold the community’s standards as required by applicable laws, CC&amp;Rs, and design guidelines.</li>
<li>Facilitate the architectural design review process.</li>
<li>Evaluate and oversee the CC&amp;R compliance process.</li>

Liability and Risk Management
<ul>
<li>Ensure liability and insurance policies comply with requirements set forth by governing documents and applicable laws.</li>
<li>Develop and implement a comprehensive risk management program in consultation with industry experts and advisors.</li>
<li>Ensure proper documentation for worker’s compensation, liability insurance coverage, and all executed written contracts for any contractors prior to engaging in work for any property managed by HOAMCO.</li>

Budgeting and Financial Oversight
<ul>
<li>Collaborate with and assist the Board of Directors in preparing the annual budget for each fiscal year.</li>
<li>Administer and monitor operating and reserve budgets.</li>
<li>Review monthly financial packages and prepare budget variance report for the Board of Directors.</li>
<li>Ongoing review of budget, evaluating ways to improve service and/or cut expenses.</li>
<li>Review all contractual services annually and/or as needed to ensure community objectives are met.</li>
<li>Invoice review and approval as required by Board.</li>

Timely and Accurate Communication

Summary: The Admissions Director manages the facility inquiry and admission process and provides customers with facility-related information via, personal visits/assessments, presentations, facility tours, and follow-up. Coordinates and implements effective community education programs.
Qualifications:
Education:

Job Functions:

<li>Responds to inquiries from hospital discharge planners, families, and other referral sources. Manages the inquiry process professionally, timely and with appropriate follow-up.</li>
<li>Manages the admission process by maintaining updated bed availability and facility services information</li>
<li>Conducts facility tours and effectively manages occupancy levels and census/premium mix enhancement.</li>
<li>Makes discharge calls to hospital discharge planners, medical, insurance, legal and financial professionals, and other community contacts. Develops and maintains relationships to advise referral sources of bed availability and new products and services.</li>
<li>Spends at least 50% of time outside the facility on community education activity generating referrals and admissions.</li>
<li>Participates in daily stand-up meetings to alert department heads and building staff of projected admissions, and to be made aware of bed changes, and upcoming discharges.</li>
<li>Maintains a close working relationship with the Director of Nursing (DNS) and the Business Office Manager (BOM) to assure appropriate and efficient decisions about prospective admissions.</li>
<li>Inputs daily referral source and admission data into the automated referral system.</li>
<li>Coordinates the development and implementation of admission plans; serves as chairperson for weekly Census Development meetings.</li>
<li>Maintains a working knowledge of Federal and State regulations and reimbursement guidelines (Medicare and Medicaid). Assists with managed care referral process.</li>
<li>Maintains a database of medical contacts/community resources along with knowledge of industry trends and legislative/regulatory issues and communicates this information to facility staff and community contacts.</li>
<li>Develops and implements special events and presentations targeted at community education, establishing, and maintaining status for the facility as the expert on skilled nursing, specialty programs, and rehabilitation care in the community.</li>
<li>Monitors and evaluates customer satisfaction with current and former patients, their families, and referral sources and shares results with the management team and others as appropriate to develop action plans as needed.</li>
