Overview:
We are seeking a dedicated Legal Assistant to support our client's finance practice. This role is pivotal in ensuring smooth and efficient operations within the law firm. The Legal Assistant will assist attorneys and paralegals by managing calendars, processing correspondence, handling document management, conducting research, and preparing legal documents. This position requires a keen eye for detail, exceptional organizational skills, and the ability to juggle multiple tasks effectively in a fast-paced environment.
Key Responsibilities:

Provide direct support to attorneys and paralegals by preparing, editing, and reviewing legal documents and correspondence using Microsoft Word, Excel, and other legal software tools.

Initiate conflict checks and assist in opening new client matters, ensuring compliance with firm protocols.

Organize and maintain both digital and physical filing systems, including labeling and document tracking.

Coordinate logistics for meetings and travel, including booking conference rooms and arranging catering when needed.

Manage attorney calendars and assist with time entry, billing edits, invoice preparation, and related financial documentation.

Prepare and submit expense reimbursements, CLE tracking, trust accounting reports, and check requests.

Answer incoming calls, relay messages, and provide courteous assistance to clients and internal stakeholders.

Support a team of 4–5 attorneys and/or paralegals, ensuring seamless administrative operations.
Qualifications:

High school diploma or equivalent required; minimum of 2 years of experience in an administrative support role.

Prior experience in a law firm or within a finance-related legal practice is preferred.

Strong proficiency in Microsoft Office applications, particularly Word and Excel.

Self-motivated and organized, with the ability to prioritize tasks and meet deadlines under pressure.

Excellent communication skills and a professional demeanor when interacting with clients and colleagues.

Must be adaptable and willing to work extended hours when necessary to meet business needs.

Demonstrated ability to handle confidential information with discretion.

Compensation: $60,000-75,000 annually
