Position Summary

The Document Processor plays a key role in ensuring every deal is accurate, compliant, and processed smoothly from start to finish. This individual must demonstrate exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.

You will be responsible for reviewing deal submissions, identifying and correcting errors, preparing contracts and closing packets, coordinating with buyers and sellers, and managing the full funding process — from initial document verification to final disbursement.

Key Responsibilities

  • Review incoming deal submissions for accuracy and completeness before contract typing.
  • Identify and correct errors or missing information to ensure all documents meet lender and state requirements.
  • Prepare and type contracts, assemble complete closing packets, and ensure all required documents are included.
  • Educate buyers and sellers on the closing process, including remote closings or DocuSign procedures.
  • Coordinate and communicate with all parties (dealers, buyers, lenders) to ensure smooth closings and timely funding.
  • Collect, verify, and forward all final documents to the appropriate recipients — including lenders, title offices, Coast Guard, and other relevant agencies.
  • Follow up on funding delays with lenders and dealers, ensuring timely resolution and accurate documentation.
  • Provide superior customer service via phone and email, maintaining professionalism and a positive attitude at all times.
  • Maintain organized deal files and detailed notes within internal systems (such as OneNote or CRM).
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and other company software to process and track deals.
  • Assist with additional tasks such as processing credit applications, answering phone calls, and educating dealers or buyers on processes or changes.
  • Collaborate with other departments to ensure smooth workflow and accurate communication.
  • Proactively identify and resolve issues using available resources and problem-solving skills.

Qualifications

  • Preferred: Experience in document processing, lending, banking, or dealership finance environments.
  • Required: Strong attention to detail, organizational skills, and the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) and comfort with digital platforms such as DocuSign.
  • Strong customer service mindset with a professional and positive attitude.
  • Reliable, accountable, and eager to learn new systems and processes.

Schedule:

  • Monday - Friday 9am-6pm
  • Alternating Saturdays
