Position Overview
The Assistant Property Manager supports the daily operations of a luxury multifamily community with over 500 units, ensuring an exceptional living experience for residents while driving operational efficiency and financial performance. This role requires a polished, service-oriented professional with strong organizational skills, leasing expertise, financial acumen, and the ability to support all aspects of property management. The Assistant Property Manager acts as a key partner to the Property Manager and serves as a leadership presence on the property.
Key Responsibilities
1. Resident Relations & Customer Service
- Provide a luxury-level customer service experience to all residents, prospects, and guests.
- Respond promptly to resident inquiries, concerns, maintenance requests, and escalations.
- Manage the move-in/move-out process, ensuring all steps—inspections, keys, orientation, documentation—are completed professionally.
- Organize community events, resident engagement programs, and retention initiatives.
- Maintain a positive, solution-focused approach to conflict resolution.
2. Leasing & Marketing Support
- Assist with leasing efforts, including tours, follow-ups, application processing, and approvals.
- Ensure all marketing materials, online listings, and branding reflect the luxury standard of the community.
- Track and report occupancy, renewal rates, traffic, and leasing performance metrics.
- Support marketing campaigns, outreach efforts, and partnerships to drive occupancy goals.
- Maintain accurate records of availability and ensure units are market-ready.
3. Financial & Administrative Management
- Assist in preparing, reviewing, and tracking annual budgets, monthly reports, and financial performance.
- Process rent payments, late fees, deposits, refunds, and delinquency follow-up.
- Support vendor invoicing, purchase orders, and expense control procedures.
- Maintain organized and compliant lease files, resident documents, and audit-ready records.
- Prepare notices, communications, and resident correspondence in accordance with policies and regulations.
4. Operations & Compliance
- Work closely with the Property Manager to ensure smooth daily operations of the community.
- Assist with regulatory compliance, fair housing requirements, and company policies.
- Support oversight of maintenance operations, including timely completion of work orders and preventive maintenance schedules.
- Conduct regular property tours, unit inspections, and curb appeal checks to uphold luxury standards.
- Ensure all common areas, amenities, and building features remain in top-tier condition.
5. Leadership & Team Support
- Serve as the acting manager in the Property Manager’s absence.
- Support leasing consultants, concierge/front desk, and maintenance teams with tasks, guidance, and daily operations.
- Participate in team meetings, training sessions, and performance feedback initiatives.
- Help foster a positive, professional, and collaborative workplace culture.
6. Technology & Systems
- Utilize property management systems (e.g., Yardi, RealPage, Entrata) for leasing, reporting, and resident management.
- Assist with digital communication tools, resident portals, and online service request systems.
- Ensure data accuracy and confidentiality across all platforms.
Qualifications
- 2–4 years of experience in property management, preferably in luxury or Class A multifamily communities.
- Strong understanding of leasing, property operations, and customer service best practices.
- Experience with large-scale communities (500+ units) highly preferred.
- Proficiency in PMS software such as Yardi, RealPage, AppFolio, or Entrata.
- Knowledge of Fair Housing laws, local housing regulations, and compliance standards.
- Excellent communication, interpersonal, and problem-solving skills.
- Ability to multitask, prioritize, and work in a fast-paced environment.

- Flexible to work weekends or evenings as needed.
