Job Summary:The Facilities Coordinator supports daily operations across a large industrial campus by providing administrative, financial, vendor, and workflow coordination. This role ensures timely service delivery, accurate reporting, and effective communication between site teams, vendors, and internal leadership. The coordinator will work onsite in an industrial, production-style environment and plays a key part in maintaining efficient and compliant facility operations.Key Responsibilities:Client & Operational Support
- Serve as the first point of contact for client inquiries, ensuring timely and courteous communication.
- Support account governance through financial reporting, WIP management, data analysis, and budget tracking.
- Monitor Helpdesk activity, log service requests, and coordinate resolution with internal teams and vendors.
- Prepare internal and client-facing reports; attend meetings and document minutes.
Financial Administration
- Manage customer billing and invoicing with a strong focus on accuracy and margin integrity.
- Maintain compliance with company and client financial policies, including purchase orders and cost controls.
Vendor & CMMS Coordination
- Coordinate vendor onboarding and maintain subcontractor documentation for both planned and reactive work.
- Maintain and update CMMS and web quote systems, ensuring data accuracy and job status updates.
HSE, Quality & Compliance
- Ensure compliance with Health, Safety & Environmental (HSE) standards and maintain QHSE documentation.
- Conduct quality assurance activities, audits, and improvement initiatives.
- Manage contracts including negotiation, obligations tracking, and compliance.
Process Improvement
- Support monthly business reviews and contract performance reporting.
- Recommend and implement process improvements and cost-saving initiatives.
Required Experience:
- 3–4 years of administrative, financial, or contract support experience.
- Experience with invoicing, purchase orders, financial tracking, or similar processes.
- Experience coordinating within production or facilities environments.
Nice-to-Have Experience:
- Associate degree in Accounting, Finance, or related field.
- Experience with CMMS systems or workflow management platforms.
- Experience supporting industrial, manufacturing, or production facilities.
Required Skills:
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong organizational skills and attention to detail
- Financial process knowledge (invoicing, POs, cost tracking)
Preferred Skills:
- Problem-solving and analytical skills
- Excellent written and verbal communication
- Ability to manage multiple priorities in a fast-paced environment
Additional Skills:
- Advanced math skills (percentages, markups, discounts)
- Ability to work directly with cross-functional teams
