The Project Coordinator serves as the communication hub between field operations, project teams, and the office, helping to keep projects on schedule, resources aligned, and customers informed. This role is ideal for a highly organized, detail-oriented professional who excels at multitasking, problem-solving, and driving operational consistency across complex HVAC service and project environments.
Responsibilities
- Assign and Dispatch Work Orders: Schedule and dispatch HVAC service technicians for equipment verification, unit startup, and project-related service calls, ensuring optimal workload balance and timely response.
- Coordinate Project Activities: Work closely with project managers, construction teams, and service technicians to align schedules, manpower, and priorities across multiple large-scale projects.
- Track and Manage Work Tickets: Monitor the status of all service tickets from initiation through closeout, ensuring accurate documentation, timely completion, and compliance with company and customer requirements.
- Maintain Communication: Serve as the primary point of contact between the field and office teams, providing real-time updates on job progress, technician availability, and scheduling changes.
- Ensure Data Accuracy: Review and verify job details, equipment information, and technician reports for accuracy prior to closing out work orders in the system.
- Support Startup and Commissioning: Coordinate with startup teams to schedule and track unit startups, ensuring all required documentation, checklists, and verifications are completed and filed.
- Optimize Workflow Efficiency: Identify and address scheduling conflicts, technician capacity issues, and process inefficiencies to improve project and service delivery and customer satisfaction.
- Reporting and Documentation: Generate daily and weekly reports on ticket volume, completion rates, and project status; assist management in evaluating performance and resource utilization.
- Customer Coordination: Communicate with clients to confirm service schedules, access requirements, and completion status for assigned jobs.
- Compliance and Safety: Ensure that all work orders and activities adhere to company safety policies, project specifications, and regulatory requirements.
Qualifications
- Associates Degree desired; Bachelor’s Degree preferred.
- Minimum three (3) years of HVAC project and/or service field coordination
- Strong interpersonal / communication skills with HVAC Field Personnel
- Familiarity with project management platforms such as Monday.com and Viewpoint Spectrum is a plus
- Demonstrate consistency in delivering against targets within a team.
- Handle multiple tasks, prioritize goals, and create a sense of urgency.
- Track record of positive, Mission-Oriented culture creation and growth.
- Proven ability to manage multiple stakeholders through project & service execution.
