Project One Day School Mission

Project One Day’s mission is to help parents build a better future for themselves and their children by providing high-quality, tuition-free childcare rooted in the Gospel of Jesus Christ. Our model is unique in the industry. Parents volunteer one day a week in the classroom alongside experienced Lead Educators. In exchange, parents receive a scholarship for 50 hours/wk of high-quality care.

Job Summary

The Administrative Coordinator for Project One Day plays an integral role in supporting the Program Director in the daily operations of the school, ensuring a safe, nurturing, and educational environment for the children. This position is full-time and involves a blend of strong administrative duties ensuring that licensure and state and federal requirements are kept current and involves direct engagement with children, staff, and parents. The position will report to the Program Director.

Job Requirements

· Christian who is actively involved in a church and actively living out their faith.

· Education - Prefer an Associates or Bachelor’s Degree in Early Childcare.

Will consider a high school graduate with 3 to 5 years of experience as Assistant Director or in an administrative role for an early childcare center.

· Must have a passion for young children and support the mission of Project One Day.

· Excellent communication skills including written and oral communication. Interaction daily with Program Director, children and their parents.

· Excellent administrative skills needed in administering a pre-school center. Platforms used in this role: Amazon Business, Chase Banking, HHSC licensing, website, Microsoft 365 OneDrive, Brightwheel. Plus, etc.

· Candidate must have expert understanding of the record keeping section of the Minimum Standards for Childcare and the Federal Food Program reporting requirements.

· Must have a collaborative attitude and work well with all members of the school and church - staff, children, parents and vendors.

JOB DUTIES

Program Support

Complete required Early Childhood training for teaching annually. Sub in class on rare occasions when there are ratio challenges.

Record Keeping

Food Program - Verify teachers are logging their meal attendance and meal production into the MySimpleMenu website daily. Submit monthly information to MySimple Menu for reimbursement from PCCPA. Verify receipt of funds.

Purchases - Store all receipts for purchases on Project One Day’s OneDrive account with the exception of Amazon (those are stored on Amazon). Use the app to take a photo of the

receipt and upload it to the proper year’s file under

Finances.

Staff/Parent Binders - Maintain Binders for all parents according to the requirements stated in the Records section for the Minimum Standards for Childcare (ie. DL, Notarized

Affidavits, Diplomas, CPR Cer9fica9ons, etc). These binders are periodically inspected by the State Inspector and they arrive unannounced.

W9’s/ Insurance - Before making a purchase from any 3rd party contractor get a copy of their proof of insurance and their W9. This will be needed for the insurance audit each fall.

Payments/Purchases

Ensure payments are made annually, monthly, and weekly to Project One Day’s various vendors (Commercial Insurance, Brightwheel, Gusto, Alarm, Cleaning Company, City of Houston Fire Permits, etc.).

Maintain supplies for school. Make purchases as needed via Amazon, Target and Walmart, staying within provided budget. If an item that is over budget make

request from Program Director.

Reporting

Insurance Audit – Each fall, complete the insurance audit to maintain our

coverage for commercial insurance. There is a form with instructions. Includes sending 941’s, W-9’s, and insurance for contractors.

Bookkeeper Coding Sheets – Monthly fill out the coding sheets from our 3rd party

bookkeeper (Jitasa) regarding what the purchases were for. Check Amazon records and receipts and categorize properly.
