Summary
The Scheduling Coordinator will be responsible for scheduling a wide range of jobs/tasks by coordinating with field teams across construction and installation departments. This position serves as a key point of communication between internal teams and customers to ensure service requests/tasks are completed accurately, efficiently, and with high customer satisfaction.
Role and Responsibilities
- Schedule and coordinate jobs/tasks across various teams.
- Monitor and manage in-flight service orders to ensure timelines are met and resources are properly allocated.
- Coordinate jobs/tasks regarding outages and damage repairs
- Communicate with customers regarding scheduling updates, service delays, and project timelines—
always ensuring a professional and customer-centric experience.
- Notify customers of responsibilities and prep requirements regarding any upcoming scheduled job/tasks
- Handle live calls and requests from internal teams and customers regarding services and schedule coordination.
- Submit and track utility locate requests via Indiana 811, ensuring all work is properly cleared and scheduled.
- Collaborate cross-departmentally to address scheduling conflicts and service delays.
- Maintain accurate records of scheduling activity, including escalations, reschedules, and assignments.
- Identify opportunities to improve scheduling workflows and assist the Service Delivery Manager in implementing process enhancements.
- Support initiatives to enhance customer experience.
Qualifications and Education Requirements
- High school diploma or equivalent (G.E.D.) required
- 1–2 years of experience as a scheduler
- Familiarity with multi-screen display systems
- Proficient with basic computer operations and keyboard functions
- Understanding of various trades and the ability to assign work orders accordingly
- Strong interpersonal, verbal, and written communication skills
- Skilled in Microsoft Office applications, including Excel, Word, and SharePoint
REFERRED SKILLS
- 1–2 years of experience with Indiana 811 or GIS software
- Ability to manage multiple tasks while applying critical thinking and problem-solving skills
- Self-motivated with the ability to manage time and meet goals independently
- Demonstrates sound judgment, adaptability, and flexibility in response to changing work demands
- Comfortable working in a general office setting
