Job Description

A Medical Office Manager is responsible for the overall administrative and operational management of a medical office, ensuring efficient patient care and a productive work environment.

Key Responsibilities:

  • Operational Management:

    • Oversee daily office operations, including patient flow, scheduling, and facility maintenance.

    • Manage medical supply and equipment inventory, procurement, and maintenance.

    • Implement and maintain electronic health record (EHR) systems and other office software.

    • Develop and enforce office policies and procedures.

  • Staff Management:

    • Supervise, train, and evaluate administrative and clinical support staff.

    • Handle staff recruitment, onboarding, scheduling, and performance management.

    • Foster a positive and collaborative work environment.

  • Financial Management:

    • Oversee and develop patient billing, coding, and collections processes.

    • Manage accounts receivable and ensure accurate claim submission.

    • Develop, monitor, and manage the office budget, identifying cost-saving opportunities.

  • Compliance & Patient Relations:

    • Ensure strict adherence to all healthcare regulations (e.g., HIPAA, OSHA).

    • Address patient inquiries and complaints, ensuring high levels of patient satisfaction.

    • Maintain accurate and confidential patient records.

  • Communication & Reporting:

    • Serve as a primary point of contact for internal and external communications.

    • Prepare and present reports on office performance and financial status.

Qualifications:

  • Education: Bachelor's degree in Healthcare Administration, Business Management, or a related field (preferred).

  • Experience: 3-5+ years in a supervisory/management role within a medical office or healthcare setting.

  • Skills:

    • Strong leadership, organizational, and problem-solving abilities.

    • Excellent interpersonal and communication skills.

    • Proficiency in medical office software, EHR systems, Microsoft Office Suite and QuickBooks

    • Solid understanding of medical billing, coding, and healthcare regulations.

Company DescriptionDoctors House Call is a concierge Healthcare program where doctors bring back the traditional house call model. As a part of the in home care network, we offer advanced screening with ECHO, vascular ultrasound, lab screening and physical fitness testing. We have partnered with COSMED out of Rome, Italy to perform body fat index, aerobic capacity, stress and pulmonary function testing as a part of our core screening program located in our future Spa and Testing Center. We have completed a 3 year beta test in the Texas and New Mexico area and are launching the first of several programs in The Villages, Florida. Each program involves a 2 phase launch procedure to allow for development of our systems in a staggered manor. We are looking for an office manager to help us with this roll out and implementation through each of the phases.

Our office manager will be involved from the ground up as we implement our Athena scheduling, billing and EMR portal. We start with our phase 1 launch on Sept 4th where we are only seeing patients in the home and developing our protocols for in home care. During phase 2, with an expected around March 1st, 2026, will be the opening of our Spa and Testing Center.

Strong candidates should be able apply traditional medical office management to our new model of care. We are reshaping the way healthcare can be done.
