Job Overview

As a Front Desk/Collections Clerk, you will play a crucial role in maintaining smooth front office operations while also managing collections processes. This dual-responsibility position requires excellent organizational skills, attention to detail, and the ability to multitask effectively. The ideal candidate will have experience with NetSuite, business to business collections, and enjoy a front desk role.

Key ResponsibilitiesFront Desk Operations:

  • Greet and direct visitors, ensuring a positive first impression of the company
  • Answer and manage incoming phone calls, emails, and other communications
  • Manage mail and package deliveries, including sorting and distribution
  • Maintain a clean and organized reception area
  • Assist with administrative tasks such as data entry, filing, and document preparation
  • Manage office supplies inventory and place orders as needed
  • Ensure security protocols are followed for visitor check-in and building access

Collections:

  • Assist accounting with collections. Review and analyze customer accounts to identify overdue payments
  • Initiate contact with customers via phone, email, or mail to collect outstanding balances
  • Negotiate payment plans and arrangements with customers when necessary
  • Document all collection activities and maintain accurate records in NetSuite
  • Collaborate with sales and customer service teams to address customer inquiries and disputes

Qualifications and Skills

  • Minimum High school diploma
  • Minimum of 2 years of experience in a front desk or receptionist role
  • Minimum of 2 years of experience in collections
  • Proficiency in NetSuite, with the ability to navigate and utilize its features effectively
