Job Description
We’re seeking an energetic, resourceful Office Manager & Team Engagement professional to be the heartbeat of a growing Global Technology firm and the go-to person for their brand-new co-working space in Chicago. In this role, you’ll keep the day-to-day operations humming, make sure every team member has what they need to succeed, and help shape a vibrant, connected workplace culture.
This is a hands-on position where you’ll own a wide variety of responsibilities with a “no job too big, no detail too small” attitude. From keeping the office running to organizing events that bring people together, you’ll be at the center of it all, building a warm, positive, and inspiring environment where people feel welcomed, supported, and excited to come to work.
Responsibilities
- Serve as the main point of contact for general employee support in the North American market; ensure day-to-day needs and welfare are met.
- Organize and execute employee engagement activities, such as team events, happy hours, seasonal celebrations, and recognition milestones.
- Own end-to-end management of gifts for employees and new hires, including selecting items, sourcing suppliers, ordering, and preparing within budget.
- Oversee the coworking office environment to ensure it is organized, stocked, and always running smoothly.
- Manage relationships with coworking space providers and external vendors.
- Handle onboarding logistics for new joiners, including equipment, welcome kits, and introductions.
- Manage offboarding processes and equipment returns for departing employees.
- Source, order, configure, package, and distribute swag, supplies, and equipment for staff and clients.
- Maintain accurate inventory and proactively identify replenishment needs.
Ideal Experience
- 3+ years of experience in office management or administration, preferably in a tech or startup environment.
- Demonstrated ability to take ownership of operational tasks, including managing vendors, sourcing supplies, and handling logistics from end to end.
- Experience planning team/office events or employee engagement programs.
- Strong organizational skills with the ability to prioritize, multitask, and keep things moving in a fast-paced environment.
- A proactive, can-do attitude, you take initiative, solve problems independently, and thrive when given autonomy.
- Collaborative and team-oriented, with a strong sense of accountability and ownership.
- Tech-savvy, with confidence to set up/troubleshoot office equipment and assist with onboarding IT needs.
- Comfortable managing budgets and tracking spending for office and team-related needs.
- Excellent communication and interpersonal skills; approachable and comfortable interacting at all levels.
