Job Summary:

Due to growth, HonorBridge is recruiting a Quality Specialist. The Quality Specialist advances HonorBridge's mission by ensuring completeness, accuracy, and regulatory compliance of both organ and tissue donor charts. This position performs detailed reviews of organ and tissue donation records, monitors pending clinical results, assists with regulatory data reporting, and provides technical consultation on quality issues. The Quality Specialist also contributes to policy development, internal compliance, and quality improvement initiatives.

  • Manages post-recovery culture reporting for organ donors
    • Obtains, shares and responds to positive culture/serology results in accordance with policies and federal/state/local laws and regulations, including any necessary reporting to HonorBridge's designated Patient Safety Contact
    • Provides accurate and timely post-recovery follow-up with organizational partners to coordinate compliance with access, review, and information sharing
    • Maintain accurate documentation of pending and completed results in UNET and LLTN
  • Ensures completeness and compliance of HonorBridge Organ and Tissue donor charts
    • Conducts comprehensive reviews and audits of both organ and tissue donor records for accuracy, completeness, and compliance with regulatory standards (including FDA, AATB, OPTN, CMS, and internal policies)
    • Performs detailed cross-verification of HonorBridge charts against clinical source documents, medical records, UNET and required forms to ensure data integrity and consistency
    • Conducts and verifies recipient matching to ensure accuracy and compliance with transplant protocols
    • Obtains, uploads, and verifies donor records from hospitals, EMS agencies and other external sources
    • Uploads incoming documents/forms accurately into donor charts daily
    • Reviews and shares serology, culture, pathology, toxicology, and autopsy/Medical Examiner reports with internal teams and processor partners
    • Monitors chart completion and notifies applicable coordinator and departmental manager of due dates and discrepancies
    • Supports Clinical Staff in completing donor charts, identifying gaps, and providing documentation guidance
    • Communicates deviations and variances to Departmental Management
    • Manages processor pending lists, ensuring timely follow-up, resolution of outstanding items, and coordination with internal teams and external partners to support chart closure and compliance
  • Performs in-depth analysis of charts as part of regulatory- or data-related studies initiated by management
  • Supports operational objectives by providing chart-derived data not readily accessible through automated means
  • Assists in the assurance of departmental regulatory compliance
    • Monitors and evaluates the department for efficiency
    • Assists the Manager of Quality Systems in writing and revising policies and procedures
    • Reviews and assists in resolving clinical staff errors
    • Assists Lead Quality Coordinator with surgeon credentialing program
    • Assists Lead Quality Coordinator with supplier qualification program
  • Performs Data Quality Reviews and Reporting
    • Assists Lead Quality coordinator with conducting periodic (monthly and semi-annual) data quality audits for reporting to regulatory agencies (AOPO, OPTN).
    • Assists Lead Quality Coordinator with preparing and submitting monthly data exports to regulatory agencies (OPTN)
  • Maintains electronic medical record (EMR) access to all available hospitals
    • Utilizes medical information from remote EMR access to obtain and review available medical records
    • Maintains confidentiality of all patients and donor/recipient information
  • Submit periodic development plans, including issues, goals, and strategies, to manager
  • Performs other duties as assigned

What we are looking for:

  • Associates degree and 3+ years of related experience OR a bachelor's degree and 1+ years of related experience
  • Proficiency with electronic medical record systems and quality management databases
  • Working knowledge of regulatory and accreditation requirements for organ and tissue recovery (FDA, AATB, OPTN, CMS)
