Position Overview

The Patient Intake and Scheduling Coordinator is an essential part of our daily operations. This role manages patient check-ins, appointment scheduling, insurance verification, and communication between patients and clinical staff. The ideal candidate is detail-oriented, friendly, and comfortable working in a healthcare setting where accuracy and professionalism are required. This position offers the opportunity to build strong administrative skills and become an important contributor to the clinic’s workflow.

Key Responsibilities

  • Welcome patients as they arrive and assist with sign-in procedures and digital intake forms

  • Gather and update patient information, ensuring accuracy in all electronic records

  • Manage incoming calls, appointment requests, scheduling changes, and patient questions

  • Coordinate scheduling across multiple providers, optimizing daily clinic flow

  • Confirm appointments, send reminders, and communicate preparation instructions

  • Verify insurance eligibility, confirm benefits, and document coverage details

  • Assist with collecting co-pays, preparing billing forms, and supporting basic billing tasks

  • Maintain an organized front desk environment, including files, forms, and reception area

  • Provide clear communication between patients and clinical staff regarding wait times, instructions, and next steps

  • Protect patient privacy and follow all HIPAA policies and medical office procedures

  • Support administrative tasks such as filing, scanning documents, or assisting with reports

  • Participate in weekly staff meetings and contribute to improvements in office processes

Required Qualifications

  • High school diploma or equivalent

  • Previous experience in a medical office, clinic, or front desk role preferred

  • Strong verbal and written communication skills

  • Excellent customer service ability with a positive and professional attitude

  • Comfortable multitasking and handling high call volumes

  • Basic knowledge of computers, scheduling software, and digital records

  • Dependable, punctual, and able to work independently or as part of a team
