This position plays a key role in supporting front desk operations by managing patient intake, handling a high volume of inbound calls, ensuring smooth scheduling, and providing exceptional service to patients and clinic staff. Role & Responsibility: Tasks That Will Lead to Your Success
- Greet patients upon arrival and ensure a wait time of no more than 10 minutes.
- Assist patients with intake procedures, including copying required documents and confirming insurance.
- Answer incoming calls and handle appointment scheduling and inquiries.
- Coordinate and process patient referrals for specialty services.
- Manage daily front desk operations, including answering phones, balancing daily collections, and addressing routine inquiries.
- Work administrative reports such as daily reports, incomplete tasks, and no-show reports.
- Scan and/or file all correspondence in a timely and accurate manner.
- Manage and sort incoming faxes and route them to the appropriate team members.
- Support the clinical team with additional administrative tasks as assigned.
- Focus on managing a high volume of inbound calls with professionalism and efficiency.
Team Environment:You will work closely with a collaborative and patient-focused team consisting of:
- 1 Physician
- 1 APC (Advanced Practice Clinician)
- 2 Medical Assistants
- 2 Front Desk Coordinators (including this role)
- 1 Care Coordinator
- 1 LPN
Skills & Experience Qualifications That Will Help You Thrive
- 1–2 years of related work experience, including data entry and customer service
- Working knowledge of medical office procedures and terminology
- Strong communication and interpersonal skills
- Effective multitasking, time management, and organizational skills
- Accuracy in sorting and filing documents using alphabetic or numeric systems
Preferred Qualifications:
- 2+ years of customer service experience
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, etc.)
- Experience with eClinicalWorks (eCW) or similar EMR systems
- Bilingual in English and Spanish
- Call center or high-volume call handling experience
- Familiarity with Medicare Advantage Insurance Plans
- Background in healthcare, preferably in a primary care setting
